Planning Your Visit
Review our online Curriculum Guides. Here you will find information about all of the Classroom in the Clay Center programs by grade level, online art lessons that explore the Museum’s permanent collection and various science programs.
Groups must consist of 10 or more people to qualify for group rates.
We require 1 teacher/chaperone for every 10 students Grades 1-12 and 1 teacher/chaperone for every 5 pre-K and K students. Teachers and required chaperones up to the required 10:1 student/chaperone ratio receive free admission to the Museum galleries only. Additional programs receive a discounted fee. Chaperones and adults are responsible for the behavior of the group and are required to supervise and stay with their group at all times. Click here for Tax-Exempt Rate Chart.
All additional adult chaperones pay regular admission rates. Click Here for Regular Admission Rate Chart. The Clay Center cannot guarantee space availability of programs for additional adults joining your group who have not been included in your group reservation.

Scheduling a Visit
Complete our Pre-registration Form or call the Group Sales Reservationist at least two weeks prior to the day you would like to visit, and have the following information ready:
• School or organization name
• Complete address and telephone number
• Contact person/group leader
• Total number of children and adults
• Grade/age level
• Program preferences
• Arrival and departure times
• Lunch plans (space is very limited-you must reserve lunch for your group)
• Special accommodations (wheelchairs, listening devices, etc.)
You will receive a Confirmation Packet in the mail that includes an invoice/confirmation, directions and group checklist within two weeks after receipt of your reservation.
Payment
Tours must be confirmed with a Purchase Order or Credit Card no less than two weeks prior to your scheduled tour date. Please call the Group Reservations Coordinator to provide your purchase order or credit card number. Purchase orders may also be faxed to (304)561-3598, atten: Group Reservations.
Payment is due in full upon your group's arrival. In order to receive the group rate one payment for the entire group is required. If paying with cash please have money collected prior to arrival.
A copy of your tax-exempt certificate is also required if your group qualifies for the tax-exempt rate. This certificate can be faxed in or brought upon arrival.

Clay Center memberships and promotional coupons do not apply to group tours.
Cancellation Policy
Cancellations or changes to group reservations consisting of 10 or more people must be made at least one week in advance or full admission amounts will be charged.
Before Your Arrival
Make sure your students/group members have nametags indicating school/group name only, or wear a school/group T-shirt for easy identification.
Please have an accurate count of students, chaperones and additional adults included in your group reservation. An accurate count is absolutely necessary in order to process your group tickets.
Please give your bus/van drivers the driving/parking directions included in your confirmation packet.
Make sure that you have confirmed the arrival and departure times indicated on your confirmation letter with your driver.

Check-In
Please be on time. Late arrival may result in loss of programs. Please call (304)561-3500 or (304)561-3562 if you will be arriving late so that we can be better prepared to assist you!
Students and chaperones must remain on the bus for orientation by Clay Center staff.
Have an accurate student, chaperone, and additional adult count ready.
